This Privacy Policy (this "Policy") describes how CONSENSUS AI TECHNOLOGY PTE. LTD (the "Company") collects, uses, processes, stores, and discloses Personal Information in connection with access to and use of the Services.

This Policy forms an integral part of the Terms and Conditions (the "Terms"). Capitalized terms used but not defined in this Policy shall have the meanings given to them in the Terms.

1 DEFINITIONS

For purposes of this Policy, the following definitions apply:

1.1 Company means CONSENSUS AI TECHNOLOGY PTE. LTD, including its affiliates, successors, and assigns.

1.2 User, you, or your means any individual who accesses or uses the Services.

1.3 Services means all products, features, functionalities, content, and services made available by the Company through its websites, platforms, or applications, whether free or paid.

1.4 Artificial Intelligence or AI means automated, algorithmic systems, models, or tools used by the Company to process inputs, apply workflows, and generate outputs without human review or approval.

1.5 Content means all information, materials, analyses, summaries, reports, memoranda, outputs, and other content made available through the Services, including AI-generated content and content derived from third-party sources or interviews.

1.6 Personal Information means information that identifies, relates to, describes, or can reasonably be linked to an identifiable individual.

1.7 Usage Data means aggregated and de-identified information relating to the operation and use of the Services, excluding the substance of user-provided information.

2 SCOPE AND APPLICATION

2.1 This Policy applies to Personal Information collected in connection with access to and use of the Services, including when a User creates an account, uploads materials, interacts with AI functionalities, or otherwise engages with the Services.

2.2 The Services are provided and operated within the United States. Personal Information is processed and stored within the United States in connection with the operation of the Services.

3 INFORMATION COLLECTION

3.1 The Company collects Personal Information to the extent necessary to operate, maintain, and improve the Services in a manner consistent with their functionality and intended use.

3.2 Such information may include account registration information, such as name, email address, organizational affiliation, and login credentials. The Company may also collect information provided through use of the Services, including documents, files, data, and other materials uploaded by the User, as well as prompts, queries, and other inputs submitted to AI-enabled functionalities.

3.3 In connection with use of the Services, the Company may generate and store outputs derived from User inputs, including analyses, summaries, and other Content. The Company may also collect technical and operational information relating to interaction with the Services, including access times, session activity, feature usage, device and browser information, IP address, and system performance data.

3.4 The Company may further generate system logs and diagnostic information, including error logs and request metadata, for the purpose of maintaining the reliability, integrity, and security of the Services.

4 INFORMATION PROCESSING

4.1 Personal Information is processed solely for purposes consistent with the nature and functionality of the Services.

4.2 User-uploaded files and materials are stored within secure cloud infrastructure using encryption at rest and in transit. Such materials may be temporarily loaded into memory during processing but are primarily maintained within controlled storage environments. Depending on the functionality of the Services, such materials may be retained to support User workflows, including access to historical records and reuse of prior inputs. Where retention is not required, such materials may be automatically deleted within a limited period following processing. Users may request deletion of uploaded materials, subject to system capabilities and applicable legal requirements.

4.3 Prompts and inputs submitted by Users may be subject to limited and controlled logging for purposes including system stability, security monitoring, debugging, and performance optimization. Access to such logs is restricted to authorized personnel and governed by internal access controls and audit mechanisms. User inputs are not used to train third-party AI models or external systems.

4.4Outputs generated through the Services are typically associated with and stored within the User's account to enable continuity of use and historical reference. Access to such outputs by the Company is strictly limited to authorized purposes, such as support and troubleshooting, and is subject to internal controls. Such outputs are not used for commercial reuse outside the provision of the Services.

4.5 The Services may utilize temporary caching mechanisms to improve performance and responsiveness. Such cached data is retained for short durations and is automatically cleared in accordance with system design.

4.6 Infrastructure providers supporting the Services may generate technical logs at the system level. Such logs generally consist of metadata and do not include the substantive content of user-provided information. Where debugging or diagnostic processes involve additional data, such access is subject to strict minimization and access control principles.

4.7 Where the Services involve contributions from third-party analysts or subject-matter experts, related information may be stored in a controlled manner to support research integrity, quality assurance, and traceability. Such information may, depending on the nature of the feature, be associated with User accounts or maintained independently, and remains subject to confidentiality and access controls.

5 PURPOSES OF PROCESSING

5.1 Personal Information is processed for the purpose of providing, operating, and maintaining the Services, including processing User inputs, generating outputs, enabling account functionality, and supporting User workflows.

5.2 Personal Information may also be processed to monitor system performance, ensure security and integrity, diagnose errors, improve functionality, and respond to User inquiries or support requests.

5.3 User-provided information is not used to train third-party AI models or to generate outputs for other users.

6 USER COMMUNICATIONS

6.1 The Company may send Users service-related communications in connection with the operation of the Services, including notifications, updates, system messages, and informational communications relating to features or Content available through the Services.

6.2 Such communications are primarily functional in nature and are intended to support User access to and use of the Services. Where applicable, Users may manage communication preferences through account settings or by following instructions provided in the communication.

7 COOKIES AND SIMILAR TECHNOLOGIES

7.1 The Services may use cookies and similar technologies to support the operation, functionality, and performance of the Services.

7.2 Such technologies may be used to maintain session integrity, enable core platform features, improve responsiveness, and support system security and diagnostics. These technologies may collect limited technical information, such as device identifiers, browser type, access times, and interaction metadata, in a manner consistent with the operation of the Services.

7.3 Cookies used in connection with the Services are primarily functional and operational in nature. The Company does not use cookies for third-party advertising, cross-site tracking, or behavioral profiling.

7.4 Users may manage or disable cookies through browser settings. However, disabling certain cookies may affect the availability or functionality of certain features of the Services.

8 DISCLOSURE OF INFORMATION

8.1 The Company does not sell Personal Information.

8.2 Personal Information may be disclosed to service providers that support the operation of the Services, including cloud infrastructure providers and technical vendors, strictly for the purpose of providing and maintaining the Services and subject to appropriate confidentiality and data protection obligations.

8.3 Personal Information may also be disclosed where required to comply with applicable law, regulation, legal process, or governmental request.

8.4 In connection with a merger, acquisition, financing, or sale of assets, Personal Information may be disclosed as part of such transaction, subject to appropriate safeguards.

9 DATA RETENTION

9.1 Personal Information is retained only for as long as necessary to fulfill the purposes described in this Policy, including providing the Services, maintaining system integrity, and complying with legal obligations.

9.2 Retention periods may vary depending on the nature of the information and the functionality of the Services. User-uploaded materials may be retained in accordance with product settings or deleted upon request or after a defined period. System logs and diagnostic data are retained for limited operational purposes. Cached data is retained only for short durations and is automatically cleared.

10 USER RIGHTS

10.1 To the extent provided under applicable law, Users may have certain rights with respect to Personal Information, including the right to request access to, correction of, or deletion of such information.

11 DATA SECURITY

11.1 The Company implements reasonable administrative, technical, and organizational measures designed to protect Personal Information, including encryption, access controls, authentication mechanisms, and monitoring systems. Access to Personal Information is limited to authorized personnel with a legitimate need to access such information.

11.2 Notwithstanding the foregoing, no system can be guaranteed to be completely secure.

12 CHILDREN

The Services are not directed to individuals under the age of eighteen (18), and the Company does not knowingly collect Personal Information from such individuals.

13 RELATIONSHIP WITH THE TERMS

This Policy shall be read together with the Terms. Any dispute, claim, or controversy arising out of or relating to this Policy shall be resolved in accordance with Section 15 of the Terms, including the governing law, arbitration, and class action waiver provisions.

14 CHANGES TO THIS POLICY

The Company may update this Policy from time to time. Any updates will be reflected by revising the "Last Updated" date. Continued use of the Services following such updates constitutes acceptance of the revised Policy.
